Invoicing · for crews of one to nine

The books, kept.
Even offshore.

Nautical Ledger is invoicing and expense-keeping for small working crews — charter boats, dive shops, delivery skiffs, any outfit where the person doing the work is also the person doing the books. Raise an invoice from the dock. Sort it out properly later.

Keeping the books for crews like

Banyan Boatworks Tern & Co. Charters Driftline Diving Saltmere Rigging Harbourlight Rentals

Everything the job needs. Nothing the office does.

Nautical Ledger does six things well and refuses to do a seventh. If you need approval chains and purchase orders, you need different software — and probably a bigger boat.

Invoices

Bills shaped like your work

Day rates, per-head pricing, fuel surcharges, deposit taken up front — the line items real trips actually have, not a generic quantity-times-price grid.

Quotes

Quote to invoice in one move

Send a quote, get the nod, press one button. The invoice inherits every line, and the client sees the same numbers they agreed to.

Expenses

Receipts logged where you stand

Photograph the fuel receipt at the pump. It's dated, filed against the trip, and waiting in the ledger when you're back at a desk.

Crew shares

Splits worked out per trip

Set each crew member's share once. After every trip, the ledger shows who is owed what — no envelope math at the end of the season.

Season view

The whole year on one page

Income, costs, and what's still unpaid, month by month. You'll know by August whether the season is working — not next April.

Exports

Files your accountant will accept

Clean CSV and PDF exports of everything, any time. Your books are yours; we just keep them tidy while they're here.

Built for the deck, not the desk

Most invoicing tools assume you're sitting down, online, with two monitors and a coffee. Nautical Ledger assumes you're standing on a pontoon with wet hands and one bar of signal.

  • Works fully offline — everything syncs when signal returns
  • An invoice takes under a minute, gloves on
  • Client pays by link; you see it the moment they do
  • Overdue bills chase themselves with polite reminders
  • Every figure traceable back to a trip, a receipt, a name

How it works

There is no setup wizard and no import consultant. Most crews send their first real invoice the day they sign up.

  1. Log the trip. Who, where, what was agreed. Twenty seconds, usually while the clients are still finding their car keys.
  2. Send the invoice. Built from the trip, sent by link or email. The client can pay from their phone before they've left the marina.
  3. Record what moved. Fuel, bait, mooring fees, crew shares — photographed or typed, filed against the trip automatically.
  4. Hand over a clean ledger. At tax time, export the year and give it to your accountant. That conversation gets much shorter.

Fair questions

What happens to my data if I cancel?

You export it and keep it — CSV and PDF, every plan, including free. Your account stays readable for ninety days after you cancel, then we delete it. We'd rather you stay because the tool is good, not because leaving is hard.

Does it really work without signal?

Yes. Invoices, trips, and expenses are all created on the device and sync when you're back in range. Sending an invoice needs a connection — everything before that moment doesn't.

We're not a boat. Can we still use it?

Plenty of crews aren't — mobile mechanics, surveyors, small film crews. If your work happens in trips or jobs rather than at a desk, the shape fits. The nautical words are ours; the ledger doesn't mind.

Is there a contract or a setup fee?

Neither. Month to month, cancel in two clicks, and the free plan has no time limit. If a month goes badly, downgrade for the off-season and come back when the bookings do.

Who do I talk to when something breaks?

A person, by email — hello@example.com. We answer within one working day, usually faster during the season, because that's when it matters.

Keep the ledger. Lose the shoebox.

Start on the free plan with a real trip and a real invoice. If it doesn't earn its keep by the end of the month, export your data and go — no hard feelings.
